Policies

The following policies are subject to user agreement during the registration process.

Refund & Cancellation. We hope to reach a sufficient number of total camp registrations by 7/25. In the event that we do not reach our registration goal, this year’s camp will be canceled, and full refunds will be made.

Liability

I verify that the participant has been checked by a licensed physician and is physically able to participate in Summer FAIR. I have instructed the participant to obey all rules and directions given by Summer FAIR personnel during events and activities at Lexington Presbyterian Church. In addition, I understand that attendance at Summer FAIR is completely voluntary and despite appropriate safety precautions, FAIR and Lexington Presbyterian Church cannot guarantee that no injury will occur. I understand that participation carries certain risks of injury and I assume all risks resulting from participation in Summer FAIR. I will hold harmless FAIR and Lexington Presbyterian Church and their trustees, officers, employees, agents, and any and all affiliated departments from any and all liability, causes of action, claims and demands of every kind or nature whatsoever which may arise in connection with or resulting from participation in any of the Summer FAIR activities.

Behavior Policy

Fine Arts in Rockbridge (FAIR) is committed to providing quality instruction to participants of the Summer FAIR workshops in a positive setting. To ensure this, the directors and staff members ask that the following behaviors be discussed with the students before beginning the program. Respect and honesty is expected at all times. The following behaviors are considered unacceptable: Disrespect for fellow students, staff or volunteers - ignoring staff/volunteer directions, fighting, pushing, tripping, spitting, cursing, hitting, yelling, etc. Disrespect for facility or materials - destruction of classroom property, throwing objects, running inside, etc. Summer FAIR staff and/or volunteers shall report to the FAIR director and occurrence of unacceptable behavior. The director shall contact the parent or guardian accordingly and a student may be asked to go home for the remainder of the day. In the event a parent or guardian must be called three times, FAIR reserves the right to remove the student from the remainder of the program without refund of program fees. We appreciate your understanding, cooperation and support to maintain a positive, safe and fun environment for all students and staff. We are always willing to make special arrangements for students with special needs. Please contact the Summer FAIR director for more information.

Media Release

With your consent during registration, the participant may be photographed or recorded for promotional or archival purposes. These materials may be used in: Summer FAIR or FAIR promotional materials (flyers, brochures, videos),, Website and social media posts, Press releases or news articles.

Information We Collect. We collect the following information when you register the participant for Summer FAIR: Participants ’s name, age, address, school attending, and grade. Parent/guardian contact information (name, phone, email, address) Emergency contact details Medical/allergy information Media release preferences This information is used solely for camp administration, emergency response, and internal communication. 2. How We Use Your Information We use your data to: Ensure camper safety and appropriate program placement. Communicate with families before, during, and after the program. Maintain emergency response preparedness. Track attendance and class participation. Provide updates or share future FAIR programming (optional). We do not sell, rent, or share personal data with third parties, except as required by law or in emergency situations. 3. Media Release. With your consent during registration, your the participant may be photographed or recorded for promotional or archival purposes. You may opt out of the media release by selecting the appropriate option on the registration form. Liability Policy 1. Assumption of Risk. Participation in Summer FAIR includes physical activity and creative exploration that may involve minor risks (e.g., paint spills, slips, sun exposure, etc.). By registering, you acknowledge and accept these inherent risks. 2. Medical Emergencies. In the event of an injury or medical emergency, Summer FAIR staff will: Attempt to contact a parent/guardian and emergency contact immediately. Provide basic first aid as needed. Contact emergency services if warranted. You authorize Summer FAIR and its agents to seek and authorize emergency medical care on the participant’s behalf, should you not be reachable. 3. Release of Liability. By registering for Summer FAIR, you agree to release and hold harmless: Summer FAIR. Fine Arts in Rockbridge (FAIR). All associated staff, volunteers, and partner organizations. …from any liability, claims, or causes of action arising from participation in the program, except in cases of gross negligence or intentional misconduct.
